What is a User Group
User groups are a way to organize and manage users based on common characteristics or roles within a system or application.
User groups help streamline the assignment of permissions and access rights by allowing administrators to set permissions at the group level rather than individually for each user.
This simplifies the process of managing user permissions, especially in large organizations or complex systems.
Common User Groups
Here are some common user groups and their typical permissions:
- Administrators:
- Highest level of access.
- Full control over the system or application.
- Typically responsible for configuration, maintenance, and user management.
- This User Group is not editable.
- Managers/Supervisors:
- Access to specific administrative features.
- Often have the ability to manage users within their team or department.
- Regular Users:
- Standard level of access.
- Can perform day-to-day tasks within the system or application.
- Support Users:
- Limited level of access.
- Typically responsible for user management tasks.
- Often have restricted access to configuration or workflows.
- Read-Only Users:
- Limited to viewing data but not making changes.
- Suitable for users who need access for informational purposes only.
- Guests/External Users:
- Limited access for external collaborators or temporary users.

By categorizing users into groups, administrators can efficiently manage permissions, ensuring that individuals have the necessary access rights for their roles without unnecessary privileges.

Access Levels
Access Level | Definition |
---|---|
No Access | Users will have no access to any of these objects or the ability to view any of the objects. |
Read Only | Users can see these items only. If user restrictions are added to any of the objects, then the user can only see the objects that have been assigned to them. Caution: If a user only has read access to reports and two specific reports are selected within their Reports Permissions, they will only be able to see those two reports. |
Create / Edit | The user can add new and edit those that they have added. |
Full Access | The user can create new and edit existing, including deleting and editing anything that anyone else created. |
Request Access | Refunds or store credit submit as are pending until processed by user with permissions to process. |
Process Access | Refund or store credit applies at the time. |

Group Permissions |
| Allow No Access to the configuration of User Groups, but restrict a certain User Group the ability to create users to only Groups they are allowed. Use Case: A Customer Support Supervisor. They can create Customer Support Users only. In this example they would have No Access to User Groups, and the Customer Support Group would be selected. |
Users |
| Note - when allowing access to Users, they can see all users, even when the User Group has restrictions. Group restrictions only allow them to create a User under that/those User Groups they have access to. |

| Cohorts are used to group customers with the same criteria. These can then be assigned to Mailing lists for Marketing Connections. |
API Logs / Events | Access to API Logs & events. This will show information coming into and leaving the Vrio System. API Logs and Events are tied directly back to the Customer Record, as well as aggregated within Analytics. |
