Phase 1: Initial Setup

Getting Started

Login and begin adding staff and Users to provide access into your organization.


Vrio Admin Settings

Within Vrio the concept of Profiles is used when you have a default setting that you will apply across different setup components of your organization.

Payments

Vrio is integrated with 20+ payment providers and digital wallets.

Shipping & Delivery

Shipping logic enables you to apply accurate shipping fees, configure various carriers, impose restrictions on product destinations, and determine the appropriate fulfillment center responsible for handling the shipment.

Note: A pre-established Free Shipping profile is automatically generated in your organization.

Selling physical products?

If you have complex shipping requirements, please contact [email protected] to discuss custom shipping options.

Taxes

It is advisable to incorporate a Tax Connection, which enables a third party to automatically calculate the appropriate tax collection amount.

An alternative option would be to integrate a Tax Profile from within Vrio, where tax rates can be entered on a state-by-state basis.

Returns

If you are selling a physical product that has a return window, using the Return Profile will allow for rules and logic to apply to any returned product.

Customer Communication

Vrio has pre-loaded Responder templates. You can customize the content and design of your notifications.

Customized Communication

Customer Communication can be launched utilizing the pre-loaded responders within the Campaign, or it can be tailored down to the customer's renewal cycle. Learn about the different communication strategies that can be utilized.

Decline Reattempt Strategy

If you are offering any subscriptions, you will want to implement a decline reattempt, or dunning strategy.

This is only applicable for recurring subscriptions.


Third Party Integrations

Now that your default settings have been reviewed and created, its now time to connect any third party integration that is needed.

  • Add Data Connections
  • Apply Data Connections appropriately
  • Test each data connection (testing covered in Phase 2 below)

Pricing

By default, the price will be used from the Item. Pricing can be adjusted once an Item is associated with a Campaign Offer and can be edited accordingly.

Apply Company Settings

A Campaign is the container in which you use to sell Items. This is where Items to be sold will live and the above Settings will be applied.

Marketing

  • Add Tracking Pixel Information
  • Add Google Tag Manager ID

Promotions

Do you offer any promotions in the form of Discount Codes or Quantity Discounts?


Organize Data

Fees and Costs

  • Confirm your fees and costs have been setup so reporting includes fees.

Categories

Categories will allow you to group components together for ease of visibility and reporting.


Migrating your Data

Before migrating your data, the above configuration would need to be completed. There are two ways to migrate data into Vrio.

Vrio offers a standardized file import process for legacy data. The file import format utilizes a .csv file to import customer records. Contact your account rep for file import steps.



Vrio provides access to 93 unique data fields per customer record imported. Not all fields are required.

API Connectors

Utilize prebuilt connections to APIs to automatically pull customer, product, payment and shipment data. Contact your account rep for migrating data through prebuilt connections.


Phase 2: Testing & Validation

Before you launch, you need to make sure that everything works as intended in your setup. This phase covers comprehensive testing of all your configurations.

Order Flow Testing

It is critical to test all sales funnels and flows to ensure the customer experience and expectations are setup properly. Find details on how to place a test order and test cards.

Recommended place order test scenarios:

  • Successful Transaction
  • Declined Transaction
  • Partial Sale
  • Test different payment methods, digital wallets, if applicable
  • Verify Shipping Costs are calculating as expected
  • Place test on multiple devices
  • Ensure to test all billing schedules, or Offers, that are available

Order Modifications

Within Vrio there are many modifications that can be done to an order and its shipments. We encourage any options that will be available to your customers and customer support, to be tested through. Those examples can include:

Connections Testing

When using any Third-Party connection, it is vital to test through that connection to ensure there are no surprises after launch.

The exact details of what you need to test in this phase depend on what systems you have connected to Vrio.

  • Test through all Third-Party Connections, including:
  • Pixels, Postbacks and Webhook events

Analytics Check

Any tracking data that you need should be setup.

  • Add GTM ID, confirm it is setup properly
  • Confirm any Custom Tracking Variable is posting back as expected

Analytics Tip!

No test orders go into the Analytics reports within Vrio. Do not be alarmed if you check the Reports and see no data when all orders are Test.

Any order that is not flagged as Test will appear within reporting.


Phase 3: Go-Live Preparation

Final steps before launching to production.

Final Checks

  • Setup URL redirects
  • Test all different scenarios for order placement
  • Test into each third-party connection
  • Update any Sandbox Credentials to Production Credentials
  • Confirm any Test Merchants are updated to live Merchants
  • Review user access and permissions
  • Verify all email templates and branding
  • Confirm domain is properly configured

Launch!

Once all items are checked off, you're ready to go live. Monitor your first few production orders closely to ensure everything is working as expected.
